Based at the Company's Arnprior Office, the focus of this role is to provide exceptional customer service, in person and on the telephone. The CSR/Dispatcher adds additional skills to the team by acting as a backup for the Dispatcher to efficiently dispatch drivers, deliveries, products, and equipment when required. Ensures timely billing for products and services. This role is responsible for the timely and cost-effective ordering of equipment and products and inventory control. Serve as the primary point of contact for handling phone calls and overseeing administrative paperwork on behalf of both the Dispatcher and Division Manager.
This role is full-time permanent working from Monday to Friday each week.
RESPONSIBILITIES:
- Respond to customer inquiries, both in person and over the phone.
- Act as the lead person on the phones.
- Take customer orders for goods or services, promote goods or services, and update accounts.
- Handle and process service work orders efficiently to ensure the timely resolution of customer inquiries and maintain service quality standards when required.
- Initiate billing, process payments, and receive payment for services.
- Perform Accounts Receivable tasks, including contacting customers.
- Process over-the-counter Lubricant sales and perform daily bank deposits.
- Manage card lock inventory fuel movements and administration.
- Act as a backup to complete and review daily truck reports.
- Communicate with drivers on schedules, routes, and changes.
- Contribute to the month-end process.
- Undertake monthly inventory counts.
- Ensure accurate billing for lubricants, equipment, and supplies promptly.
- Ensure customer files and supplier invoices are up to date.
- Coordinate with sales and operations employees for installations and/or repairs.
- Order equipment and products to maintain a working inventory.
- Coordinate any required compliance paperwork and customer notification as needed.
- Prepare equipment installation schedules and/or repairs.
- Provide backup support to other CSRs and the Division Manager.
- Act as backup to the Dispatcher.
- Perform any other duties as reasonably required.
EDUCATION & SPECIALIZED KNOWLEDGE:
- High school diploma.
- A minimum of 2 years working in an administrative/clerical, accounting role is required.
- Previous dispatch experience is a significant asset.
- Working knowledge of the local geography is required.
Other Requirements:
- A high degree of proficiency in the use of Microsoft suite of software.
- Ability to analyze and evaluate information used to make sound business decisions quickly and efficiently.
- Exceptional communication skills, both verbal, written and on the telephone.
- Ability to multi-task, and juggle competing deadlines and multiple priorities.
