How you will contribute as part of the TRCA team:
The Coordinator, Procurement coordinates all aspects of procurement related matters, including competitive bidding, contract execution, purchase order processing, as well as supports the management of procurement related databases. This role supports the continuous development of procurement processes and procedures and related training for the organization.
Major Responsibilities:
- Coordinates vendor management, credit and purchase order processing, and request for proposal (RFP’s).
- Provides input into weighted evaluation criteria, pricing schedules, procurement timelines, and requests to alter terms and conditions; Assists in ensuring consistent application of terms and conditions in coordination with Risk and Legal Services.
- Manages procurement system and database administration and quality assurance and control.
- Coordinates version control of procurement and agreement templates.
- Maintains and tracks a list of all TRCA VOR arrangements, advising Authorized Buyers of contract expiration and possible renewals/extensions.
- Conducts compliance audits on a regular basis.
- Works with the Supervisor, Procurement to develop and update staff training materials related to procurement systems, processes and procedures.
- Contributes to the development and implementation of industry best practices, more efficient procurement processes and procedures and the innovative use of new technology.
- Incumbents may also be assigned other duties
Education (degree/diploma/certifications/licenses)
- Post-secondary diploma or degree in Business, Commerce, Finance, Procurement or a related field
- 2+ years of experience in a procurement environment
- Demonstrated ability to prepare procurement documents.
- Understanding and application of basic mathematical functions. (e.g., adding, subtracting, measuring, money computation)
- Able to comprehend written documentation and procedural guidelines; skilled in writing clear correspondence. (concise, logical, grammatically correct)
- Demonstrates responsiveness to internal and external customer requests and needs.
- Ability to communicate effectively with tact and courtesy.
- Understanding of ERP systems and electronic bidding system.
- Computer proficiency in MS Office suite including online software such as MS teams, SharePoint; advanced MS Excel capabilities for analysis, data visualization.
