Community Campaigns and Events Coordinator

As our Campaign and Events Coordinator, you will play a vital role in inspiring Calgarians to engage with and support our mission.
Position Overview:
Reporting to the Executive Director, the Campaign and Events Coordinator is a key team member responsible for assisting in the planning, organization, and execution of all fundraising campaigns and events.
Key Responsibilities
Inventory Management:
- Track and manage inventory for campaigns and events.
- Organize supplies, including calendars, silent auction items, community giveaways, and event materials, ensuring proper storage and accessibility.
- Maintain up-to-date spreadsheets for inventory and supplies, ensuring accuracy and timeliness.
- Source vendors and prepare purchase orders for event supplies, securing management approval as needed.
- Communicate with suppliers to ensure timely delivery of orders and manage online merchandise orders.
- Coordinate logistics for community giveaway days.
Event Support:
- Assist third-party fundraisers with the supplies they need for their events.
- Represent Calgary Police Youth Foundation at community events, setting up information/display tables.
- Assemble and transport prize and gift baskets for events.
- Assist the Fund Development Director in planning, organizing, and executing fundraising campaigns and events.
- Support planning of logistics for campaign and events
Volunteer Coordination:
- Recruit, train, and manage volunteers for fundraising campaign and events, ensuring all roles are clearly defined.
- Provide ongoing support and communication to volunteers during events to enhance their experience.
- Foster positive volunteer experiences through effective communication and stewardship.
- Train and manage volunteers, ensuring they understand their roles and responsibilities during events.
Budget and Financial Tracking:
- Help maintain accurate records of expenses and revenues for each campaign and event.
Data Management and Reporting:
- Create and maintain detailed spreadsheets for tracking event RSVPs, donor information, and volunteer assignments.
- Provide regular updates and reports on campaign progress and event outcomes.
Post-Event Evaluation:
- Assist in conducting post-event evaluations to assess success and gather feedback for future improvements.
- Compile data and insights into reports for the Fund Development Director.
Qualifications
- High school diploma or equivalent; further education or relevant certifications preferred.
- Previous experience in a campaigns and event coordinator role, preferably in a non-profit or charity setting.
- Prior event management and planning experience is an asset for this position.
- Proficient in Microsoft Office Suite and other relevant software; experience with database platforms is a plus.
- Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
- Excellent communication skills, both written and verbal.
- Collaborative attitude with a passion for charitable work.
- Ability to work in a demanding environment with competing deadlines.
- Strong initiative, problem-solving skills, and the ability to maintain a positive attitude under pressure.
- Able to work a flexible schedule, including evenings and weekends as required.
- Ability to collaborate effectively with team members, Calgary Police Service, volunteers, and donors.
- Meticulous attention to detail and excellent customer service skills.
- Ability to maintain strict confidentiality.
- Some travel will be required to attend meetings and/or events.
- A valid driver’s license and use of personal vehicle for business is required. Some heavy lifting, up to 25 lbs is required with this position.
