Program Overview
YWCA Halifax’s Family Home Childcare Program is the largest in Nova Scotia, serving over 40 Family Home Day Care Providers for Children. Our mission is to help provide safe and quality childcare for children from infancy to school age in a private home setting at no cost to the provider. As well, as increase the quality and flexibility of early learning and care options available to families. YWCA Halifax works with providers to create an appropriate early learning curriculum that is child-centered, play based, and reflects the cultural diversity of children. We match families to providers that prefer home daycare and provide resources to care providers. We strive for excellence in all that we do.
This position requires a self-motivated professional who is efficient and adept at identifying and implementing solutions to improving administrative operational effectiveness. This role is integral to the efficient administrative operation of the childcare program and requires strong administrative, communication, and data management skills. The Administrative Coordinator will provide direct support to FHCC Manager, FHCC consultants, childcare providers, Provincial Director and other program stakeholders while ensuring compliance with agency protocols and Child Care departmental regulations.
Duties:
- Advance the vision and mission of YWCA Halifax.
- Ensure systems, practices and timelines are well documented.
- Collect/compile childcare management expense claims, and documents in preparation for weekly (or as needed), signage and submission, adhering to deadlines.
- Compiling relevant program data (i.e. Childcare board reports).
- Coordinate with the Fees Department through monthly check-ins to verify financial data and Resolve discrepancies.
- Support the preparation of grant reports related to care provider funding and initiatives.
- Assist with updates to Childcare policy/manuals.
- Respond to parent inquiries regarding childcare availability and organize waitlists.
- Produce administrative templates and manage required forms.
- Ensure basic reception systems for all locations are managed effectively.
Qualifications and Requirements:
*ECE's (Early Childhood Educators), are encouraged to apply, and would be considered an asset*
Diploma in administration, and/or program management with a minimum two years related experience or equivalent combination of education and experience. Competent using computers including Microsoft Office, with basic knowledge of databases and computer networks, knowledge of childcare regulations & licensing requirements, strong organizational skills with the ability to multi-task, excellent time management skills with the ability to prioritize work. Must be solutions focused and service oriented. Must possess certification in First Aid/CPR- level C, Clear Criminal Record Check (vulnerable sector), Child Abuse Registry Check, WHIMIS.
