Title: Administrative Coordinator
Reports to: Executive Director
Compensation: $22 / hour
Employment Type: Part Time Contract till March 31, 2026 ( 3 days a week)

About Us
Since 1986, Neighbour to Neighbour (N2N) Centre has been working to lead the Hamilton community to an improved quality of life. What started as a small food bank has evolved into an indispensable part of Hamilton’s social fabric. N2N gets to the very root of its community’s needs, offering access to healthy food, skill building programs, tutoring for children, utility support programs, counselling and a host of other interventions.
N2N recognizes that community and social inclusion are protective factors against poverty and that food insecurity impacts mental and physical health and one’s ability to socialize, be included and celebrate culture.
N2N works with a small staff team of less than 30 people but is powered by a dedicated team of over 400 community volunteers to mobilize its mission. N2N are neighbours supporting neighbours. N2N thrives on a spirit of teamwork, collaboration, and community cohesiveness., tutoring for children, utility support programs, counselling and a host of other interventions.
Position Summary
We are seeking a personable, attentive, and detail-oriented administrative professional to join our team. This role would support our administrative office and program staff in a wide range of responsibilities and tasks.
Key Responsibilities
Working closely with the Office and Executive Administrator, and reporting to the Executive Director, responsibilities will include:
- Provide front desk reception and customer service, including communication with stakeholders and the public.
- Manage and direct incoming communications (phone, email, in-person) across departments.
- Supporting staff, volunteers and guests with positive demeanor in a busy work environment
- Database and data entry functions for financial and in-kind donations
- Processing donation deposits, observing security and confidentiality protocols
- Other inter-departmental duties as required
- Assist volunteers and customers in the used bookstore.
- Provide regular coverage for other administration staff
- Act as a positive ambassador for the organization when engaging with clients, volunteers, and community partners.
Qualifications and Experience
- Previous administration experience desired (1 - 2 years)
- Excellent attention to detail, strong communication and organizational skills
- Sound judgement and the ability to problem solve
- Non-judgemental, empathetic, and strong interpersonal skills
- Committed to equity, diversity, and inclusion
- Ability to work independently and multi-task in a team supporting role
- Experience with Microsoft Office suite including Excel, Outlook, SharePoint
- Experience with donor database such as Raiser’s Edge is an asset
- Experience working with volunteers and community programs is an asset
- Familiarity with or support of Neighbour to Neighbour programs, Mission, Vision and Values is an asset
Working Conditions and Physical Demands
- Office environment located within building housing multiple departments, including programs and services
- This role involves long periods of being seated and working with computers with office-based tasks including data entry.
Health and Safety
- Promote and maintain a safe working environment by adhering to organizational health and safety policies and procedures.
- Promptly report hazards, incidents, and injuries to senior staff on site.
- Participate in workplace safety training and contribute to the development of a culture of safety.
