We are seeking a reliable, organized, and detail-oriented Administrative Assistant to support our
landscaping & property maintenance operations. This position plays a key role in keeping our office
running smoothly, assisting with scheduling, customer service, billing, and general administrative tasks.
The ideal candidate will be comfortable multitasking in a fast-paced, service-oriented environment.
Key Responsibilities:
Answer phone calls and respond to emails in a professional and timely manner.
Schedule appointments, manage calendars, and coordinate crew dispatching.
Maintain client records and update on job status.
Assist with invoicing, billing, and collecting payments.
Process new customer inquiries and maintain positive customer relationships.
Prepare quotes, proposals, contracts, and other administrative documents.
Order office and job site supplies as needed.
Support payroll and time tracking processes.
File, scan, and manage documentation both digitally and physically.
Assist with marketing efforts (e.g. social media posts, mailers, etc.), if needed.
Perform other administrative tasks as assigned.
Job Requirements:
High school diploma or equivalent; associate degree or administrative training preferred.
1-2 years of administrative experience (landscaping or service industry experience is a plus).
Proficient with Microsoft Office Suite and/or Google Workspace.
Ability to work independently as well as part of a team with flexibility to processes and information
across related teams.
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Comfortable working in a fast-paced, sometimes seasonal environment.
