Position Summary:
We’re seeking an extremely organized and detail-oriented Office Administrator who thrives in a dynamic environment. This role is ideal for someone who enjoys working with people, brings creative ideas to the table, and is passionate about helping a business grow. The successful candidate will oversee daily administrative operations, support enrollment and sales, contribute to marketing initiatives, and ensure that our studio runs smoothly and professionally.
Key Responsibilities:
- Greet and assist students, families, and instructors in person and by phone with warmth and professionalism
- Handle lesson inquiries, enrollments, and ongoing communication with families
- Manage day-to-day administrative operations during studio hours, including scheduling and coordination
- Create, improve, and document internal systems and processes to enhance operational efficiency
- Lead and support staff in resolving minor issues and maintaining a positive team culture
- Take initiative in identifying improvements and implementing solutions
- Assist with sales of instruments, method books, and rentals
- Contribute to and create marketing materials, newsletters, and communications (email, print, social media)
- Utilize design tools such as Adobe Creative Suite or Canva for basic promotional materials
- Work within CRMs like HubSpot, Salesforce, or similar to manage contacts, communications, and follow-ups
- Provide administrative support to the leadership team as needed
Qualifications:
- Proven experience in an administrative, office management, or customer service role
- Sales or client relations experience is required
- Strong interpersonal skills and a friendly, outgoing personality
- Demonstrated ability to take initiative and lead small teams or projects
- Experience creating and improving internal systems and workflows
- Comfortable using marketing and design tools (e.g., Canva, Adobe Illustrator, Mailchimp, etc.)
- Familiarity with CRMs (e.g., HubSpot, Salesforce) and adaptability to new technology
- Creative thinker with a passion for contributing ideas that help the business grow
- Highly adaptable, fast learner, and able to multitask with accuracy
- Reliable, punctual, and calm under pressure
- Knowledge or interest in music is a bonus, but not required
