The Opportunity
The Policy Branch of the Ministry of Agriculture has an exciting opportunity for a highly motivated, organized, detail orientated, and confident individual to be responsible for office support in a fast-paced work environment.
As an Administrative Assistant, you will be responsible for the coordination and completion of a wide range of office administration activities, including:
- Preparing reports, correspondence, physical binders, and e‑binders;
- Proofreading, editing, and formatting letters, memos, briefing notes, or cabinet documents;
- Providing feedback and coaching to the branch on editing and formatting requirements;
- Coordinating travel arrangements and meeting spaces for individuals within the branch;
- Monitoring and processing of payments and office expenditures for the branch and external board members;
- The development and maintenance of filing systems while following record retention policies and procedures within the branch;
- Troubleshooting of office equipment and technology with staff, as well as arranging for repair or disposal of a variety of office equipment and furniture from within the branch;
- Responding to inquiries made in person or by telephone from a variety of government agencies, clients, and the public; and
- Assisting internal staff in day-to-day office support as needed.
Our Ideal Candidate
Our candidate of choice will be a flexible individual with a high attention to detail who also enjoys a challenging environment with diverse job expectations. As our ideal candidate, you will have:
- Knowledge of SharePoint and workflow processes;
- Knowledge of office administrative procedures and practices;
- Knowledge and experience utilizing various computer software applications such as Microsoft Word, Outlook, Teams, along with invoicing or billing software;
- Knowledge of office filing and record retention procedures and systems; and
- Excellent communication skills both verbally and written, in order to respond to inquiries, provide clear and concise information, and develop a variety of documentation.
Typically, this knowledge would be gained through the completion of a certificate in office management/administration support and/or several years’ experience in an office environment. An equivalent combination of education and experience may be considered for this competition.
